“What if you disappear?”
A fair question. Here is the exact answer.

We are a small company and we will not pretend otherwise. Instead of big words we built the service so that you are never dependent on us: an open standard, exportable data and contractual commitments published in advance. Below is exactly what happens to your documents in each scenario.

Why you are not dependent on us

Peppol is an open standard

Your company ID is registered in the network as a portable participant (Peppol Participant ID). It is not our property: you can move to another certified provider at any time and verify the registration at /overenie.

Your documents can always be exported

You can download the original XML files and the CSV overview at any time during the cooperation. When it ends, we hand everything over to you, delete our copies on request, or both. No locked formats, no exit penalties.

The data run independently of our office

The service runs in a data centre in the EU (Frankfurt) with a managed database and its daily backups. Nothing depends on a single computer or a single room; the exact address and photographs are at /kde-su-vase-data.

We announce changes in advance

We announce every change of terms at least 30 days in advance and you have the right to withdraw without penalty. All contracts are public in full at /zmluvy.

What happens in each scenario

You end the cooperation

Leaving is self-service and costs you nothing.

  1. You download all your documents: the original XML files and the CSV overview, directly in the portal. On request we hand them over to you and delete our copies, or both.
  2. You deregister the company from the network yourself with the “Deregister from the network” button in the company detail, or we do it for you. We remove you from the national SMP within 3 working days.
  3. For new companies the Data archive is on by default (separately for received and sent documents) and we keep the originals for as long as you work with us. With the archive switched off we delete document content automatically, usually 14 days after delivery, and you take care of archiving. So export your documents continuously, not only when you leave.

You move to another provider

The company's Peppol identity belongs to you, not to us.

  1. You select the new provider on the Financial Administration portal; the selection itself does not move the record in the national SMP (the FS does not inform providers). After the contract ends we issue you a migration code with which the new provider takes over receiving without downtime, and otherwise we remove you from the national SMP within 3 working days.
  2. We export all your data for you: the original XML of the documents and the CSV overview.
  3. You can publicly verify that the registration with the new provider works at /overenie. No exit penalties, no locked formats.

We close down

You have a contractual safeguard for this scenario too, in advance.

  1. We announce the termination or a substantial change of the service at least 30 days in advance, with the right to withdraw without penalty (a commitment from /zmluvy).
  2. During this period you export all your documents (XML + CSV) and select another certified provider on the Financial Administration portal; your Peppol Participant ID is portable, so the transition does not block your company in any way.
  3. We deregister you from the national SMP within 3 working days and delete our copies of the data on request. In the meantime the data keep running in the data centre in Frankfurt with daily backups, independently of our office.

A temporary outage

A short outage does not mean lost documents.

  1. We measure the availability of the service continuously and publish its history at /status: we and you see the same numbers.
  2. Every successful delivery is confirmed by a delivery receipt, so the status of every document can be proven even retrospectively.
  3. If something does not work, contact support (contacts below); we handle incidents before any other work.

The commitments on this page are not extra marketing: they stem from the public contracts at /zmluvy (terms and conditions, DPA, SLA), from the privacy policy and from the rules of the Peppol network (deregistration of a participant from the national SMP within 3 working days).
