Guides

Step-by-step guides

Exact click-by-click procedures for working with the portal, without theory and without technical terms. If you want to know why things work (the law, the Peppol network, formats), that is what the E-invoicing guide is for.

Accounting programs: invoice import and export

For every program we have a separate guide: how to transfer invoices received via Peppol into the program (the Exports section) and how to send invoices issued in the program via Peppol (the Bulk sending tab in Send e-invoice). Why an accounting program by itself is not yet an e-invoicing provider is explained in this article. The program guides are currently available in Slovak.

E-invoice samples (UBL XML)

1. How to select Verteco as your e-invoicing provider (digital postman)

This is the only official step. It is done once, on the Financial Administration portal, and is confirmed by logging in via slovensko.sk (ID card with chip) or with the identifier and password for the Financial Administration portal. Everything else happens automatically.

  1. 1
Open the Financial Administration page: vpds.financnasprava.sk/vyber-certifikovaneho-poskytovatela?id=33. The link leads directly to Verteco digital services, s. r. o.; there is nothing to search for.
  2. 2
Log in with eID (ID card with chip and the Slovensko v mobile app, or a card reader) or with the identifier and password for the Financial Administration portal. On behalf of a legal person, the person who holds the authorisation to represent it on the FS portal (the statutory representative or a person authorised by them) logs in; otherwise the company is not offered in the selection.
  3. 3
Confirm the selection of the provider. That completes it; you do nothing further on the Financial Administration page.
  4. 4
Within a few minutes you will receive an e-mail from us (sender noreply@peppol.verteco.digital) with a login button. If your tax ID had no provider yet, the company is registered in the Peppol network at that very moment and receives e-invoices. If you previously had another provider, receiving stays with them until you enter their migration code (guide below).

No e-mail? Check your Spam/Junk folder or write to us at peppol@verteco.digital. What to do when the company does not appear in the selection, and how an accountant makes the selection on behalf of a client, is described in the article selecting a digital postman on the FS portal.

2. How to move to Verteco from another e-invoicing provider

For receiving e-invoices every tax ID has exactly one provider in the central SMP; you can send through several. If another provider already holds your receiving, selecting Verteco on the Financial Administration portal does not move it automatically (the Financial Administration does not inform the original provider). The transfer is done with a migration code, without any interruption.

  1. 1
Select Verteco on the Financial Administration portal (guide above). This gives us your verification credential and activates the company with us; you can send through us right away.
  2. 2
Ask your current provider for a migration code (under the network rules they issue it after the contract ends and deregister you within 3 working days). Ending the contract with them is a matter between the two of you.
  3. 3
In the portal open Companies and click Migration from another provider, select the company and enter the code. Receiving moves to us immediately, without interruption. You can also send the code to peppol@verteco.digital and we will do the takeover.
  4. 4
Want to keep receiving with your current provider and only send through us? In the company details choose Receiving stays with the current provider (by design). Reminders about the transfer are switched off and sending keeps working.

The context and deadlines are explained in the article changing your e-invoicing provider.

3. How to log in to the portal for the first time

  1. 1
In the welcome e-mail click the login button. The portal opens and you are logged in straight away, without a password.
  2. 2
The portal offers you to set a password for future logins. We recommend setting one (you can also skip it and always log in with the link from the e-mail).
  3. 3
Next time you log in at peppol.verteco.digital/login with your password, or use the “Send login link” button to have a new link sent to your e-mail.

4. How to send yourself a test invoice (we recommend doing this first)

The test invoice travels through the real Peppol network from your company back to your company. Within seconds you see the whole cycle: sending, the delivery receipt and the received invoice with a PDF in your e-mail. It has a zero amount and is not a tax document; nothing is charged or paid.

  1. 1
Log in to the portal. Right on the home page (Overview) there is a block “Getting started”.
  2. 2
Click the button “Send a test invoice”.
  3. 3
If the portal asks you to add the registered address of the company, click “Add company address”, save the address and try again (an invoice without the address of the supplier does not meet the requirements).
  4. 4
Within a minute you will see a green confirmation with a link to the invoice: its status is delivered, the invoice has a delivery receipt and a copy also arrived by e-mail with the PDF and XML attached.

5. How to download an invoice from the portal (PDF, XML, delivery receipt)

  1. 1
In the left menu open “Received invoices” (or “Sent invoices”).
  2. 2
Click the row of the invoice; its detail with a preview opens.
  3. 3
At the top of the detail are the buttons: “Print / PDF” (opens the invoice ready for printing; in the print dialog choose “Save as PDF”), “Download XML” (the original e-invoice from the network, exactly as it arrived) and, for sent invoices, also “Download delivery receipt” (proof of delivery).
  4. 4
If the invoice arrived with attachments from the supplier, you will find them in the “Attachments” section lower in the detail; each has its own “Download” button.

Need documents in bulk for your accountant? The invoice list has links to export.csv (an overview for Excel) and export.zip (all original XML files at once).

6. How to issue and send a real invoice

  1. 1
Check whether the customer is in the Peppol network: enter their VAT ID or tax ID into the lookup tool. If they are not in the network, an e-invoice cannot be delivered to them yet (companies are still connecting ahead of the 2027 mandate).
  2. 2
In the left menu click “Send e-invoice”.
  3. 3
Fill in the customer (the VAT ID is enough, the details are completed; saved customers are offered by the “Address book” button), the lines, VAT rates and payment details. The portal proposes the invoice number according to your numbering series.
  4. 4
Click “Send via Peppol”. The invoice is checked automatically before sending; you see any error immediately, with the specific reason.
  5. 5
You follow the status in “Sent invoices”: after delivery it changes to delivered and a delivery receipt is added. Next time you can duplicate a sent invoice in two clicks.

7. How to receive incoming invoices by e-mail

Received invoices are always in the portal. In addition we can send them to you by e-mail (with the PDF and the original XML attached), for example straight to your accountant.

  1. 1
In the left menu open “My companies” and click the company.
  2. 2
    Open the “Notifications” tab.
  3. 3
Enter the e-mail (it may also be the address of your accountant), choose how often it should be sent (with every invoice, a daily summary at 7:00 or a weekly summary; new companies default to the daily summary) and save. With “With every invoice” each e-mail has the PDF and the original XML attached; the summary contains a list of invoices and a button to the portal.

For connecting your own system there is also a webhook URL; that is a topic for your technician (documentation).

8. How to add an accountant or a colleague

  1. 1
In the left menu open “Users”.
  2. 2
In the field “Invite user (e-mail)” enter their e-mail and send the invitation.
  3. 3
The invited person receives an e-mail, confirms it and sees your companies and invoices. Access to individual companies can be fine-tuned in the company details (access section).

9. How to add another company

  1. 1
In the left menu open “My companies” and click “+ Add company”.
  2. 2
Enter the company ID (IČO; the name and registered address are completed from the register) and the Peppol identifier: SK + your tax ID (for VAT payers this is the VAT ID).
  3. 3
Activate the new company the same way as the first one: by selecting Verteco on the Financial Administration portal (guide no. 1 above). The company details show you a direct link for this.
